Privacy Policy
Plain English first, lawyer-English second. You're in charge of your data.
In plain English
- • Your messages, photos, voice notes, and client details are yours. We store them so Solvo can do its job.
- • We use AWS (Sydney region) and Supabase (Sydney region) to host everything. Data stays in Australia.
- • AI models (AWS Bedrock by Anthropic, AWS Transcribe) process your messages to turn them into quotes. None of that is used to train the AI.
- • We don't sell your data. Ever.
- • You can ask us to export or delete your data any time — email info@solvo.com.au.
1. Who we are
Solvo is a product of Badgerlabs Pty Ltd ("we", "us", "our"), an Australian company. Our contact address for privacy matters is info@solvo.com.au.
2. What data we collect
From you, the Solvo user
- Account details: business name, ABN, contact name, email, phone number, default hourly rate, business logo (if uploaded).
- Channel identifier: your WhatsApp/SMS number or web browser session ID, so we know which messages are yours.
- Messages and attachments: the text, photos, and voice notes you send us to build quotes. Voice notes are transcribed using AWS Transcribe; photos are read using AWS Bedrock (Anthropic Claude).
- Quote and invoice history: the line items, totals, clients, PDFs, and delivery records of every document you create.
About your clients (the people you send quotes to)
- Client name, email, and/or phone number — as you provide them during conversation.
- When the quote was sent, opened, accepted, or declined (tracked via our short URLs).
You are responsible for making sure you have your clients' consent to send them quotes and invoices via Solvo. We act as your processor for this data, not the controller.
3. Why we collect it
- To build, store, and deliver your quotes and invoices.
- To remember your business details so you don't have to re-enter them.
- To remember your clients so "another quote for Mary" doesn't need to re-enter her email.
- To notify you when a client opens or responds to a document.
- To debug issues, investigate abuse, and improve the service.
4. Who can see your data
Your data is visible to:
- You, via your own conversations and documents.
- Solvo operators at Badgerlabs Pty Ltd — only when troubleshooting a specific issue, and only the data needed to resolve it.
- Service providers we use to make Solvo work: Amazon Web Services (hosting, Bedrock, Transcribe, SES, S3), Supabase (database), Twilio (SMS and WhatsApp delivery). These providers process your data on our instructions under their own privacy policies.
- Law enforcement or regulators, if compelled by a valid Australian legal process.
We do not sell, rent, or share your data with advertisers. Your messages and documents are not used to train AI models.
5. Where your data lives
Primary storage is in AWS's Sydney region (ap-southeast-2) and Supabase's Sydney region. Email delivery goes through AWS SES (Sydney). SMS and WhatsApp delivery goes through Twilio, whose messaging infrastructure can include servers in the United States.
When a quote is delivered via email or SMS, your client's contact detail is passed to the relevant provider (AWS SES or Twilio) for delivery. This is strictly necessary to deliver the message.
6. How long we keep it
- Conversations and user profile: kept indefinitely while your account is active. Deleted on request.
- PDF quotes and invoices: kept for at least 12 months, then transitioned to cheaper archive storage. Deleted on request.
- Voice notes and photos: raw media moved to archive storage after 30 days. Extracted text stays with the conversation.
- Delivery logs (email bounces, SMS status): kept for 90 days for operational troubleshooting.
7. Your rights
Under the Australian Privacy Principles (APPs) you can:
- Ask us what personal information we hold about you.
- Ask us to correct anything that's wrong.
- Ask us to delete your account and associated data.
- Complain to the Office of the Australian Information Commissioner (OAIC) if you believe we've mishandled your data.
Email info@solvo.com.au and we'll respond within 30 days, usually faster.
8. Security
Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). API and database credentials are managed via AWS Secrets Manager. Direct database access is restricted to a small number of Solvo operators. We log every access for audit.
If we ever discover a data breach that's likely to cause serious harm to you, we'll notify you and the OAIC as required by Australia's Notifiable Data Breaches scheme.
9. Cookies and tracking
The Solvo web chat uses localStorage to remember your session between visits. We do not use tracking cookies or third-party analytics on the chat interface.
Quote emails include a 1x1 tracking pixel so you can see when your client opens the quote. This pixel records a timestamp and the user agent; it does not track anything else.
10. Children
Solvo is for Australian businesses and contractors. It is not directed at children under 18 and we do not knowingly collect their data.
11. Changes to this policy
If we make material changes we'll notify you in the chat interface and, where possible, via email. The date at the top of this page always reflects the most recent update.
